Membership and Events Coordinator

The Position

Reporting to the Manager of Marketing and Communications, the Membership and Events Coordinator is a front-line customer service professional charged with expanding membership and event rental sales at Lindsay. The Coordinator serves as sales liaison for event rentals, responds to rental inquiries, and conducts site tours for prospective clients. The Coordinator interfaces with facilities and program teams to ensure event rental client expectations and needs are met. Works with development and marketing staff to create and implement membership recruitment, renewal, and engagement strategies.  The Coordinator will plan and execute membership recruitment, engagement, and recognition events.


Primary Responsibilities

Event Rental Sales and Coordination:

  • Responds to rental inquiries, conducts site tours for prospective clients, provide follow-up materials, and close contracts.
  • He/she will serve as the official on-site representative of Lindsay to clients, event planners, vendors, caterers, and as the point of contact for internal departments to ensure client needs are met.
  • Schedules and coordinates event rentals including Lindsay Birthday Party Packages.
  • Tracks inventory of membership and event rentals collateral and marketing materials. Provides input to marketing/ development staff to produce new printed materials and signage.

Membership Sales and Services:

  • Coordinates with Office Manager to ensure timely and accurate flow of membership sales information, member contact information updates, and replacement card requests.
  • Serves as back-up for Office Manager to ensure timely and accurate processing and fulfillment of memberships.
  • Staffs membership hotline, responds to membership inquiries and emails.
  • Works with the Manager of Guest Services to cross-train floor staff and implement membership cultivation and retention programs, including administering visitor surveys, incentive programs, and special offers.
  • Works with the Development to plan membership recruitment events, activities, and upgrade opportunities.
  • Participates in various committees as needed including education, museum wide visitor activities committee, public events, etc.


  • Minimum of two years experience in retail, sales, and/or event coordination. Museum experience a plus.
  • Commitment to customer service: courteous, flexible, and proactive.
  • Strong interpersonal and communication skills, including presentations and writing.
  • Strong self-motivation and the ability to work in a team environment.
  • Working knowledge of database programs. Raisers’ Edge experience a plus.
  • Comfortable working with the general public, volunteers, members, and donors on the phone and/or in person.


  • Medium strength demands include exerting 20-50 pounds occasionally, 10- 25 pounds frequently, or up to 10 pounds constantly. Requires handling, using vision and hearing, and talking.
  • Frequently requires standing, fine dexterity, walking, lifting, sitting, reaching, pushing/pulling, balancing, and twisting. Occasionally requires carrying, kneeling, foot controls, bending, and crouching. Rarely requires climbing.


  • Frequently requires time pressures, frequent change of tasks, irregular schedule/overtime, performing multiple tasks simultaneously, working closely with others as part of a team, tedious or exacting work, and noisy/distracting environment. Rarely requires emergency situations.


  • Occasional exposure to unpleasant environmental conditions and/or hazards.
  • Primarily office environment and infrequent outdoor event and/or outreach sites.

Hours, Benefits & Compensation

Non-exempt 40 hours a week. Includes competitive benefits package, sick time, vacation time and 401K eligibility.

Requires flexibility to work some evenings, early mornings and special events as needed.

Hourly Rate: $19-$21, commensurate with experience.
